*JOB OVERVIEW

The position is responsible for providing and overseeing daily offices administration and plan the most efficient administrative procedures.

The Admin Team Leader is accountable for ensuring a smooth running and operations of Hanoi and HCMC offices in a good security and safety standards This position report directly to Country HR Manager

*ROLE RESPONSIBILITIES

1. Administration

  • Design and organize company events, employee and HR activities, annual health check, internal CSR….

  • Daily supervise front desk services, including reception of visitors and calls, postal mail correspondences, reporting daily visitors, meeting rooms booking, good purchased receiving, log-book maintenance

  • Supervise service providers to ensure cleanness, tidiness, hygiene and safety of offices environment

  • Support business travelers in travel request, ticket purchase and accommodation arrangement

  • Monitor inventory of office supplies, office expenses with attention to cost efficiency

  • Work closely with Procurement function to conduct regular vendor assessment of admin services; to review and renew goods/ services purchase agreement.

  • Produce report, record as required by BCP committee

2. HR/ Legal support

  • Support Training function in logistics arrangement

  • Support Legal team in licensing and other legal documents

  • Responsible for work permits, visa for internal staff

  • Other task as assigned by line manager

3. Developing team

  • Provide performance coaching to team members to help them continuously improve their efficiency and level of performance

  • Set as a good sample in business compliance

*REQUIREMENTS

  • 5+ years of experience in office administration

  • Able to work in good cooperation and calibration manner

  • Good interpersonal; communication and presentation skills

  • Good English and computer skills

  • Strong awareness of Code of Conduct
