Key Responsibilities:

Executive Support:

  • Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.

  • Prepare and organize documents, reports, and presentations for executive meetings and briefings.

  • Act as a liaison between executives and internal/external stakeholders, ensuring effective communication and follow-up.

  • Manage sensitive information with discretion and ensure confidentiality at all times.

Office Management:

  • Oversee the daily operations of the executive office, ensuring a productive and efficient work environment.

  • Coordinate logistics for executive meetings, including venue selection, catering, and technology setup.

  • Maintain an organized filing system for executive documents, ensuring easy access and retrieval.

Strategic Planning and Coordination:

  • Assist in the development and implementation of strategic initiatives and projects, providing administrative support throughout the process.

  • Monitor project timelines and deliverables, ensuring that deadlines are met and communicating updates to relevant stakeholders.

  • Conduct research and prepare analysis to support decision-making processes for the executive team.

Human Resources Support:

  • Collaborate with HR to facilitate recruitment processes for executive-level positions, including screening candidates and scheduling interviews.

  • Assist in onboarding new executives, ensuring a smooth transition into the organization.

  • Support employee engagement initiatives and help organize team-building activities.

Policy Implementation and Compliance:

  • Ensure compliance with company policies and industry regulations, assisting in the development of new policies as needed.

  • Prepare and maintain documentation related to office policies, procedures, and compliance requirements.

  • Promote a culture of integrity and accountability within the executive office.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field; Master’s degree is a plus.

  • Proven experience as an Executive Assistant, Administration Officer, or in a similar executive-level support role (5+ years preferred).

  • Strong understanding of executive-level administration, office management procedures, and best practices.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.

  • Exceptional written and verbal communication skills, with a high degree of professionalism.

  • Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.

  • Ability to work independently, manage multiple priorities, and adapt to changing demands.

  • Strong problem-solving skills and a proactive mindset.
