Key Responsibilities:
Executive Support:
Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare and organize documents, reports, and presentations for executive meetings and briefings.
Act as a liaison between executives and internal/external stakeholders, ensuring effective communication and follow-up.
Manage sensitive information with discretion and ensure confidentiality at all times.
Office Management:
Oversee the daily operations of the executive office, ensuring a productive and efficient work environment.
Coordinate logistics for executive meetings, including venue selection, catering, and technology setup.
Maintain an organized filing system for executive documents, ensuring easy access and retrieval.
Strategic Planning and Coordination:
Assist in the development and implementation of strategic initiatives and projects, providing administrative support throughout the process.
Monitor project timelines and deliverables, ensuring that deadlines are met and communicating updates to relevant stakeholders.
Conduct research and prepare analysis to support decision-making processes for the executive team.
Human Resources Support:
Collaborate with HR to facilitate recruitment processes for executive-level positions, including screening candidates and scheduling interviews.
Assist in onboarding new executives, ensuring a smooth transition into the organization.
Support employee engagement initiatives and help organize team-building activities.
Policy Implementation and Compliance:
Ensure compliance with company policies and industry regulations, assisting in the development of new policies as needed.
Prepare and maintain documentation related to office policies, procedures, and compliance requirements.
Promote a culture of integrity and accountability within the executive office.
Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field; Master’s degree is a plus.
Proven experience as an Executive Assistant, Administration Officer, or in a similar executive-level support role (5+ years preferred).
Strong understanding of executive-level administration, office management procedures, and best practices.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
Exceptional written and verbal communication skills, with a high degree of professionalism.
Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
Ability to work independently, manage multiple priorities, and adapt to changing demands.
