JOB RESPONSIBILITIES
*A. Pre-Show Operations
Coordinate and follow up with internal teams (Project Sales, Marketing, Design) to gather final inputs and ensure all event materials and specifications are confirmed.
Liaise with external vendors (decor, fabrication, AV, printing, logistics) to brief requirements and track progress.
Prepare event-related materials such as setup plans, production timelines, and task checklists.
Track status of all operational items and update internal master schedules.
*B. Onsite Execution
Supervise production and setup of onsite decorations & onsite activities: production, posm, feature areas, conference space, activities space
Coordinate vendor arrival, access, and execution according to approved layout and schedule.
Coordinate with external vendor to execution onsite conferences (opening ceremony, forums….)
Report and troubleshoot any unexpected issues promptly with relevant departments.
Supervise onsite setup of branding, signage, registration areas, conference rooms, and special feature zones according to approved floorplans and timelines.
Manage and operate conference rooms, ensuring all AV setups, room layouts, agendas, and speaker logistics are in place and run smoothly.
Work closely with vendors onsite to ensure timely delivery, setup, troubleshooting, and execution of tasks.
*C. Post-Show Support
Manage dismantling, clearance, and return logistics for equipment and materials.
Support in collecting documentation (handover forms, photos, reports) from vendors and internal teams.
Participate in internal debriefing and propose improvements for future operations planning.
*D. Other Duties
Perform any other tasks assigned by the Operations Manager or management team in relation to event delivery and team support.
JOB REQUIREMENTS
Bachelor’s degree in Events, Operations, Logistics, or similar.
From 6 months of experience in event setup or logistics (exhibition/conference experience is a plus).
Well-organized and good at working with different teams & vendor.
Able to work under pressure and handle multiple tasks.
Comfortable working onsite with tight timelines and handling unexpected issues
Proficiency in Microsoft Office (especially Excel and PowerPoint).
Basic English (can write emails, join meetings, and read documents) to work with partner,
vendor.
WORKING CONDITIONS
Full-time position with flexible hours during event periods.
Required to travel and be onsite before and during events (may include weekends)
