MAIN RESPONSIBILITIES:

  • Reception Duties:

    • Greet and welcome guests, visitors, and candidates; manage visitor logbooks; offer refreshments; guide guests to meeting rooms.

    • Handle incoming and outgoing mail, ensuring accurate recording and timely distribution.

  • Admin Tasks:

    • Ensure meeting rooms are neat, well-organized, and stocked with necessary supplies.

    • Manage keys for storage rooms and stationery; control access to mailboxes and manage company access cards.

    • Maintain the cleanliness and orderliness of the pantry area; monitor supplies and coordinate with cleaning staff.

    • Oversee maintenance requests and repairs for office equipment and facilities.

    • Manage car rental contracts and driver schedules; coordinate air ticket bookings and hotel reservations for employees and guests.

    • Assist in office snack supply, utility payments, document notarization, and management of corporate accounts and services.

  • HR Administrative Support:

    • Support onboarding and off-boarding processes, work permit and TRC applications, company events, and maintain employee records.

    • Prepare and update reports on attendance, costs, contracts, and maintain an organized filing system for all administrative documents.

REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Management, or a relevant field.

  • Proven experience in an administrative role

  • Proficiency in English is required, especially for communicating with overseas teams and guess

  • Strong organizational and multitasking skills, with the ability to prioritize tasks.

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite and administrative software.

  • Detail-oriented with a proactive approach to problem-solving.

ADDITIONAL SKILLS:

  • Experience in handling confidential documents and sensitive information discreetly.

  • Familiarity with office management procedures and basic accounting principles.

  • Knowledge of local vendor management and logistics.
