MAIN RESPONSIBILITIES:
1. Reception Duties:
Answer and manage incoming phone calls professionally.
Welcome guests and guide them to meeting rooms; ensure beverages are served promptly.
Maintain the cleanliness and organization of meeting rooms and the reception area, adhering to company standards.
Handle domestic and international packages/letters and maintain accurate tracking records.
Ensure visitor logs are maintained per security guidelines.
2. Administrative and Payment Management:
Arrange and ensure timely payment for services such as:
Mobile phone, Vinaphone, VNPT (monthly)
Postage services (24/7, DHL - monthly)
Transportation services (Mai Linh Taxi, Grab, Xanh SM - monthly)
Office supplies and services, including flowers, plants, beverages, carpet cleaning, maids, parking, etc.
Air ticket payments, photocopier rental, and office rental payments.
3. Support Services:
Manage office stationery and supplies based on actual needs.
Track and follow up on lost mail or packages.
Arrange transportation, air ticket payments, and other office logistics.
4. Commercial Team Support:
Assist with documentation, creating and posting on internal tools, and providing other commercial support functions as assigned.
REQUIREMENTS:
University degree is preferred.
At least 2 years of relevant working experience, preferably in an international organization.
Strong communication and customer service skills.
Fluent in English (both written and spoken).
Proficiency in MS Office applications.
Exceptional organizational and administrative abilities.
