Core Responsibilities

 

The role is ideal for someone who has strong project skills but comes from an administration background. This role will be the “Swiss army knife” for the SEA Project factory team. The tasks will be varied and interesting. There won’t be a dull day!

This role is necessary to be a multiplier force for the SEA Factory Project team. It is a crucial role to support the many different aspects that will be needed to be carried out on the project. There is huge growth potential for the role and individual if they show the right skill set, determination, and motivation to succeed.

The Project Assistant will be a core part of the new SEA Factory Project, within the Global Workplace Projects organisation. The individual will be reporting directly to the Head of GWP SEA.

The job will cover a lot of daily and project tasks as well as follow up tasks for the department. The individual will need to support the Head of GWP SEA in both project and administration tasks.

The role will also help support other stream owners and SEA project team members where necessary.

The Project assistant will need to be an expert at using sharepoint and administrating rights to our project sharepoint. As this is a greenfield project, there will be many stakeholders that will need to be aligned and communicated with. The individual will need to help keep project communication flows open. But also, be adept at keeping specifications and documentation updated.

 

Core Responsibilities:

·       Participate in project groups

·       Help/support with project tasks

·       Follow up on project tasks

·       Update/create sharepoint for the SEA Project

·       Understand technical demands and convert them into solutions for the project

·       Help coordinate and set up project meetings and steering committee meetings.

·       Help with project communication

·       Update/review technical specifications and documentation

·       Help set up Temporary office in HCMC

·       Temporary office administration support in HCMC

·       Different administration tasks

 

How this role support us:

COMPANY is building a brand-new factory in Vietnam. The role is critical to helping support the SEA Factory new build. There will be challenges coordinating the efforts from Europe and Asia, to get the factory started on time. We will have only a temporary office to start with and a very small team of expats and a few local hires. Therefore, we will need a local individual who has good knowledge of local customs and culture but who is very globally minded.

This person will need to be energetic, enthusiastic, and driven to succeed. As we will be starting the office from scratch, the individual will need to show the COMPANY values and really embody them as we bring on new employees. I envisage this individual really “buddying” up with new starters. Therefore, the person really needs to understand the COMPANY culture and mindset.

The individual will need to of course be fluent in Vietnamese but also be fluent in English. Both written and writing. The individual will need to be able to communicate well with all levels of the organisation.

 

Requirements:

·       A certification or degree in Business Administration or Project Management

·       Some form of project course training or certifications.

·       Several years in administration roles in similar size / global organisations.

·       Construction or large-scale Project experience would be great

·       Attention to detail is critical for this role.

·       A certification or degree in Business Administration or Project Management

·       Self-driven individual who can take initiative and responsibility for tasks without much guidance.

·       Flexible and agile mindset. Able to adapt to change.

·       Microsoft Sharepoint experience

·       Energetic, driven with ambition to succeed
