As an Admin Executive, your main responsibility is to handle the administrative task at the Convenience accounts team bringing the excellent service to our value clients and associates. You will work closely with Operation Manager of Convenience accounts for Convenience accounts, Outsourcing & Staffing Service of HCMC and Convenience accounts team member.


1. Data management:

  • Manage and control masterdata for all associates to be updated daily.

  • Follow up to collect associates's personal profiles, scan, filling and update data.

  • Cross check with Ins. Consultant to update employee's SI book & MI card No./ info into master data.

2. Onboarding preparation/ process:

  • Contact with new hire for collecting data & guide them with preparation of on boarding documents.

  • Prepare offer letter, labor contract for new hire, appendix for extension.

  • Confirm the new hire list to insurance consultant for new hire registration includes compulsory & private health insurance.

  • Register tax code for new hire, follow up to get Tax code & update into master data.

  • Register dependants for associates, follow up results, update to master data and record supporting documents.

3. Booking:

  • Manage T&E facilities for client's associates including transportation, accommodation for travel, tracking payment and contract with supplier.

  • Follow up communication contracts and monthly manage with mobile contracts, phone cards, tracking and record for monthly related expenses.

  • Follow up with admin on monthly expenses of Taxi cards, process of extend, renew cards on time.

4. Social activities & Others:

  • Prepare the list of associates for yearly social activities, collect quotation, prepare & support delivery gifts to associates on Mid autumn festival, TET, year end party, …

  • Other admin task as assign by supervisor/ manager.


  • Candidate must have Bachelor Degree in Business Administration / Economics

  • At least one year of professional experience in administration.

  • Must possess effective communication skills (written and verbal).

  • Solid on-site experience.

  • Good experience in administration.

  • Good understand of job arrangement.
