Position: Admin Executive – Vietnam Office

We are looking for a proactive and detail-oriented Admin Executive to join our Vietnam team. This role will support a wide range of administrative and operational functions to ensure smooth day-to-day office operations. The ideal candidate will be a collaborative team player with strong organizational skills and a service-oriented mindset.


Key Responsibilities

  • Coordinate with Legal, HR, Compliance, and Accounting teams to manage vendor/supplier agreements, contracts, invoices, and other official documentation.
  • Provide accounting support, including:
  • Monthly accounts payable checks and payment requests.
  • Payment approvals in Workday.
  • Liaising with the Accounting team on daily matters.
  • Assisting employees with expense claims and related queries.
  • Support recruitment logistics and campus hiring activities for the Ho Chi Minh City office.
  • Assist in organizing employee engagement initiatives, training sessions, and company events; take ownership of selected events as agreed.
  • Work closely with the Vietnam operations and support teams to enhance and streamline internal processes.
  • Oversee office supply procurement and ensure timely maintenance of office equipment.
  • Manage onboarding and offboarding processes for employees.
  • Handle visa and work permit procedures, including application coordination, documentation, and compliance.
  • Provide general administrative support and handle ad hoc tasks as assigned by the General Manager.

    Qualifications & Skills

    • Bachelor’s degree from a recognized university or college.
    • Approximately 3 years of relevant experience in a multinational environment.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced setting.
    • Excellent interpersonal and relationship-building skills.
    • Strong communication skills with a customer-service mindset; fluency in English is required.
    • Ability to work independently and collaboratively with minimal supervision.
    • Self-motivated, eager to learn, and ready to take on additional responsibilities.
