Manage Hanoi office mainternance (Techinical and Renovation)
Manage Hanoi office facilities to make sure the office is professional, standardize, sustainable.
Support business trip activities: Visa, flight, hotel, transportation, travel insurance.
Work closely with office building management team to keep update, get the support when needed.
Support to EXPAT & their family members on resident card, passport, housing, car,... of their mobility
Suppliers management with high level of demanding for the best service, efficiency. Have a skill in negotiation to get the better deal for company but still keep the good service.
Manage cleaning service, plant service to make sure office is clean, safe and green.
Alert managers and team members about outstanding issues and advise them how to improve
Follow up with teammate on office & admin rules, guidelines, SOP...; make sure they understand and practice.
Update the market linked to my area and advice managers the necessary changes
Continuously review the working procedures and relevant policies in my area to make them better
Support others Admin project when needed.
Office Life Event
Organize the internal events (shareholding, family day, women day, women international day, man day, sport day, flee markets,..)
Manage happy hour event. Follow the budget and organize the event.
Manage detox corner to make sure healthy snacks and drinks, nice set up, clean services.
Office decoration (Xmas, Tet)
Manage event budget efficiency and deliver the good message to make sure the satisfaction of teammate and company.
In charge admin quarterly survey
Health and Safety relay
Arrange yearly health check up for Hanoi teammate.
To be a Safety relay for Hanoi office
Conduct safety training on 1st day at work for new comer
In charge on 5S topic for Hanoi. Make sure teammate apply strictly 5S rule and office maintains 5S activities in every area.
Financial
Manage all Hanoi budget, office expenses to make sure we use the money efficiency, in control and value to temamate and company.
Work on debit notes, payments and do the reports to admin team, HR team,.. when need it.
Cost management by reviewing the suppliers and change the services if outstanding.
II. REQUIREMENTS:
- At least 2 years experience in admin services
- Intermediate English (writing emails; reading and listening)
III. Salary range: UPTO 20M GROSS
