Import and Export Supervisor (EPE - Factory Background)

Job Summary:
We are a leading company in the plastic manufacturing industry, producing high-quality products for both domestic and international markets. As part of our commitment to operational excellence and regulatory compliance, we are seeking an Import and Export Supervisor to join our team.
This role plays a critical part in managing all import and export activities within an EPE (Export Processing Enterprise) environment. The successful candidate will be responsible for ensuring smooth customs clearance, compliance with local and international trade regulations, and efficient logistics coordination. This position requires a strong understanding of EPE regulations, customs procedures, and import-export documentation.
Key Responsibilities:
1) Import & Export Operations (EPE Focus):

Manage import and export processes for raw materials, finished goods, and non-commercial shipments under EPE regulations.

Handle self-registration customs declaration for all import/export shipments.

Ensure strict compliance with local customs regulations, including daily declarations, liquidation, and other related procedures.

Prepare and submit annual customs finalization reports, ensuring all declarations and reconciliations align with customs authorities' requirements.

Work with accounting and warehouse teams to reconcile inventory data and submit final settlement reports on raw materials and finished goods.

Update and monitor legal regulations related to import-export activities and advise management on compliance measures.

Coordinate with government authorities and agencies to obtain import/export licenses, resolve regulatory issues, and facilitate smooth trade operations.
2) Customs Compliance & Documentation:

Prepare and verify customs documents, including invoices, packing lists, bills of lading, certificates of origin (CO), and other necessary permits.

Ensure 100% compliance with local, regional, and global trade regulations, as well as internal company policies.

Work with relevant departments to track Bills of Materials (BOMs) and ensure accurate material consumption records.

Regularly liaise with customs authorities to manage inspections, audits, and compliance reporting.
3) Logistics & Shipment Coordination:

Plan and manage domestic and international transportation to ensure timely deliveries.

Work closely with freight forwarders, shipping agents, and carriers to arrange transportation and manage logistics schedules.

Oversee and monitor shipment progress, proactively addressing any delays, damages, or discrepancies.

Coordinate closely with the Planning, Production, and Warehouse teams to ensure smooth inbound and outbound logistics operations.
4) Stakeholder Management & Customer Satisfaction:

Maintain direct communication with suppliers, vendors, and international customers to ensure transparency in order processing and shipment status.

Act as the key liaison for all import-export-related inquiries from internal teams and external stakeholders.

Work closely with the Sales, Planning and Procurement teams to align import-export operations with customer demand and business objectives.
5) Reporting & Process Improvement:

Generate periodic reports on import/export activities, customs compliance, and logistics performance for the Supply Chain Manager.

Identify areas for process improvement in customs clearance, import/export documentation, and logistics operations to enhance efficiency and reduce costs.

Ensure all import-export activities follow safety, security, and environmental standards.
Qualifications:

Bachelor’s degree in Logistics, International Business, Supply Chain Management, or a related field.

At least 3 years of experience in Import-Export operations within a manufacturing environment.

Experience working in an EPE (Export Processing Enterprise) is required.

Strong knowledge of Vietnamese customs regulations and international trade compliance.

Experience in plastic manufacturing or working with Japanese management is an advantage.

Excellent proficiency in import-export documentation and customs procedures.

Strong organizational skills and the ability to handle multiple priorities in a fast-paced environment.

Proficiency in Excel and ERP systems related to logistics and import-export.

Good command of English (both written and spoken).
