Our client is a German company which provides healthcare services, are seeking a potential candidate for Project Coordinator position.
Working time: Mon-Fri (9 AM - 6 PM)
Location: District 1, HCMC.
Responsibilities
Project Coordination & Documentation
Review and adjust the user guide implementation schedule according to the machine installation plan.
Manage the company’s official seal procedures according to regulations.
Draft hardware inspection and system configuration documents.
Record and store meeting minutes.
Discuss and agree with customers on issue resolution methods via official documents.
Monitor post-project issues and generate reports.
Track and remind customers to sign necessary confirmation documents.
Confirm arising issues and send official notification documents to customers.
Send official documents to customers via postal mail.
Update project progress on the internal management system.
Draft and send project implementation report documents to customers.
Create new storage folders on the SharePoint system.
Send emails notifying project completion, closing, and transferring related information to the after-sales department.
Update the trainee list and customer satisfaction survey records in the management system.
Receive signed acceptance reports from technical specialists.
Transfer necessary information to the after-sales department for continued follow-up if required.
Verify complete project documentation before handing it over to the accounting department.
Track and collect customer signatures for necessary documents.
Store scanned documents on the SharePoint system.
Send original documents to customers via postal mail.
Scan and email completed documents to the project manager.
Submit documents for approval according to the authorization process.
Send documents to relevant departments for review before submission.
Draft documents following company templates and regulations.
Receive drafting requests from the project manager.
Assign work to the project manager based on current workload.
Receive requests from the sales department via the management system.
Consulting Responsibilities
Propose solutions when customers provide feedback or complaints.
Identify and analyze customer needs.
If unavoidable issues arise, coordinate with the contract management and sales departments to work with customers in meetings.
Send updated drawings to customers via email and official documents.
Transfer necessary information to the after-sales department for continued monitoring.
Discuss with customers about incomplete items, propose deadlines for completion, and warn of potential risks due to delays in the agreed-upon timeline.
Qualifications
Bachelor’s or Associate’s degree in Project Management, Business Administration, Engineering, or related fields.
At least 2 years of experience in project management or coordination.
Proficiency in Microsoft Office (Word, Excel, Outlook, SharePoint) and project management tools.
Strong communication and teamwork skills.
Ability to organize, track progress, and manage documentation effectively.
Proficiency in drafting official documents and handling administrative correspondence.
Attention to detail, accuracy, and high responsibility in work.
Strong analytical and problem-solving skills.
Logical thinking, meticulousness, and the ability to work independently.
Ability to collaborate with multiple departments and customers.
