Job summary:
The Administrative plays a vital role in supporting the efficient operation of our trading foodstuffs company. This position involves a wide range of administrative and logistical tasks related to food product trading, including order processing, inventory management, and documentation. The ideal candidate should be highly organized, detail-oriented, and able to multitask effectively.
Key Responsibilities:
- Process customer orders for food products, ensuring accuracy and timeliness.
- Manage and maintain inventory records, including stock levels and replenishment coordination with suppliers.
- Coordinate shipping and logistics for the on-time delivery products to customers.
- Ensure accurate and up-to-date documentation for product imports and exports, including customs paperwork.
- Assist customers with inquiries, order changes, and address any issues related to product orders.
- Provide price quotes to customers based on current market conditions and company pricing policies.
- Develop a strong understanding of the products being traded to answer customer questions and provide information.
- Organize and maintain records of food product transactions and communications with customers.
- Help with financial record keeping related to product transactions and expenses.
- Assist in event planning and logistics for food trade shows or events, if applicable.
- Build and maintain positive relationships with customers.
- Handle urgent issues or emergencies related to food supply or customer orders.
Qualifications:
- High school/ diploma or equivalent; additional education or relevant certifications are a plus.
- Good communication by English or Chinese.
- Previous administrative experience in a trading or food-related industry is preferred.
- Proficiency in office software such as Microsoft Office and Google Workspace.
- Strong organizational and time management skills.
- Excellent communication in English or Chinese and interpersonal skills.
- Ability to work well and meet deadlines.
- Knowledge of food quality and safety regulations is a plus.
- Familiarity with market trends and pricing in the food industry is an advantage.
